Movement Diagram
For this assignment, the student will illustrate the layout of a HIM department . The illustration should include equipment, furniture, and the functions of the prior for the department that they are completing their practicum at or one that they have been to recently. On the illustration, the student will draw the flow of the patient record from receipt of it in the department to permanent filing. Next, the student will write a narrative that explains the flow of the record which should indicate any issues with the flow such as a bottleneck. The student will then choose to make suggestions for improvement via a narrative or create an illustration of the department with their suggested improvements.
I’m going to give you a few of the items for this assignment. See the attached (HIM Department.docx ) for a general layout of an HIM department.
Things to take note of.
- The front door to the department is for walk-in ROI requests as well as for the main entrance to the department
- Follow the arrows for the flow of records in a “traditional” record
- The blue arrows represent paper
- The black arrows represent the electronic flow once the paper has been scanned…notice that in some instances, the arrows go to multiple locations at the same time once the chart has been scanned or in two different directions (simultaneously)
- The blue boxes represent “things” and the orange boxes represent “people”
Things I did not include:
- Please add equipment/peripherals to the work areas. What will each job function require? PC, computer, scanner, etc.
- Did I leave anyone out that you think should be in the HIM department? If so, where would you place their work space?
Questions I’d like you to consider:
- Why is it important that I added the physician break room? (they are typically close to HIM…typically. Yes, that was strategic.) Is it still important?
- I assume we all know the difference between the perm shelves and incomplete shelves. In an electronic flow, those are figurative as apposed to actual shelves since everything would be housed in the system and not on a physical shelf. It is my experience that there aren’t many departments without at least a few shelves still being used.
- Did you notice where the different job functions were placed within the department? Does that impact productivity? If so, how?
- Does my work flow make sense?
- Does this flow promote or eliminate back logs and bottlenecks?
- Would you change anything?
